Team Collaboration in AIBAMS

AIBAMS is built for teams. From shared inboxes to collaborative file editing and AI assistance, your entire team can operate efficiently from one unified platform.

Inviting Team Members

Send an Invitation

  1. Navigate to Settings → Team Members
  2. Click Invite Member
  3. Enter the team member’s email address
  4. Select their role (see Role Definitions below)
  5. Optionally add a personal message to the invitation
  6. Click Send Invitation
The invitee receives an email with a link to accept the invitation and set up their account. They’ll join your organization’s workspace automatically.
Invited team members don’t need to purchase a separate plan — they operate under your organization’s subscription.

Invitation Status

Track outstanding invitations from Settings → Team Members → Pending Invitations:

To resend or cancel an invitation, click the menu next to any pending invitation.

Roles & Permissions

AIBAMS uses role-based access control (RBAC). Each role has a defined set of permissions:

AdminCan manage members, configure apps, and access admin settings. Cannot change billing.
MemberStandard access to all apps. Cannot access team/billing settings.
ViewerRead-only access. Can view files and emails but cannot create or edit.

Changing a Member’s Role

  1. Settings → Team Members
  2. Find the team member
  3. Click their current role badge
  4. Select the new role from the dropdown
  5. Confirm the change

Collaborating on Files (FileX)

Sharing Files with Your Team

  1. Right-click any file or folder in FileX
  2. Click Share → Invite People
  3. Type a team member’s name or email
  4. Set permission: Can View, Can Comment, or Can Edit
  5. Click Share
Shared files appear in the recipient’s FileX → Shared with Me section.

Real-Time Collaboration

For supported document types (.docx, .xlsx, text files):
  • Multiple team members can edit simultaneously
  • Changes appear in real-time
  • Each editor’s cursor is shown with their name
  • Full version history tracks who changed what

Comments on Files

Leave contextual feedback on any file:
  1. Open the file
  2. Highlight text or click on an area
  3. Click the Comment icon
  4. Type your comment and hit Enter
Teammates see comment notifications and can reply to create threaded discussions.

Collaborating on Email (MailX)

Shared Inboxes

Shared inboxes are the best way for teams to manage a common email address:
  • support@yourdomain.com — Customer service team
  • info@yourdomain.com — General inquiries
  • sales@yourdomain.com — Sales team
Any team member with access can see, respond to, assign, and resolve emails in a shared inbox. See the MailX shared inbox guide for setup instructions.

Email Assignment

In a shared inbox, assign specific emails to team members:
  1. Open the email
  2. Click Assign To
  3. Select a team member
  4. The email moves to their queue and they receive a notification

Team Activity & Visibility

Activity Feed

The dashboard’s Activity Feed shows recent actions by all team members (visible to Admins and Owners):
  • Who uploaded what file
  • Emails sent from the shared inbox
  • AI tasks run by team members
  • Settings changes made

Member Status

Team members show an active status indicator in:
  • The team member list
  • Shared file collaborators
  • Shared inbox assignments

Best Practices for Team Collaboration

Create a standardized folder structure before your team starts uploading. For example: Clients / [Client Name] / [Project Name]. Consistency saves hours of searching later.
Avoid routing business emails to personal mailboxes. Set up info@, support@, and sales@ shared inboxes so nothing falls through the cracks when someone is unavailable.
At the end of each week, ask FusionX: “Summarize this week’s team activity — emails sent, files uploaded, and tasks completed.” Use this for team standup or reporting.
Follow the principle of least privilege. Give team members only the access they need. Assign Viewer to clients or contractors who shouldn’t edit files.

Removing Team Members

  1. Settings → Team Members
  2. Click next to the member’s name
  3. Click Remove Member
  4. Confirm removal
After removal:
  • The member loses immediate access to all apps
  • Their created files and emails remain in the workspace
  • Any files shared only with them need to be reassigned
Removing a member does not delete their work. Documents, emails, and files they created remain in the workspace and can be accessed by Admins and Owners.
